1. Booking Confirmation

A booking is considered confirmed once:

• A completed booking request or signed booking form has been received.
• The required deposit has been paid.
• Written confirmation has been issued by Afriquest Travels.

Until these conditions are met, no reservation is guaranteed.

2. Deposit and Payment Policy

To secure your safari, the following payment schedule applies:

• A 30% non-refundable deposit is required at the time of booking.
• Gorilla permits, chimpanzee permits, domestic flights, and accommodation requiring advance payment may require higher deposits or full payment at the time of booking.
• The remaining balance must be paid no later than 45 days before arrival.
• Bookings made within 45 days of arrival require full payment upon confirmation.

Failure to pay the balance by the due date may result in cancellation of your booking.

3. Accepted Payment Methods

Payments may be made via:

• International Bank Transfer
• Visa Card
• Mastercard
• Approved Mobile Money (where applicable)

Any bank charges, transfer fees, or currency conversion costs are the responsibility of the client.

4. Safari Prices

Safari prices include only the services specifically stated in the itinerary.

Unless otherwise indicated, prices include:

• Private 4×4 safari vehicle
• Professional English-speaking driver-guide
• Accommodation
• Meals as specified
• Park entrance fees
• Scheduled activities
• Government taxes
• Gorilla permit (where applicable)
• Chimpanzee permit (where applicable)
• Bottled drinking water while on safari

Prices do not include:

• International flights
• Entry visas
• Travel insurance
• Personal expenses
• Laundry
• Alcoholic beverages
• Optional activities
• Telephone charges
• Tips and gratuities

5. Passport and Visa Requirements

Every traveller must possess:

• A passport valid for at least six (6) months from the date of travel.
• Any required visas.
• Required vaccination certificates.
• All other necessary travel documents.

Afriquest Travels cannot be held responsible for denied entry due to incomplete travel documentation.

6. Health Requirements

Clients are responsible for ensuring they are medically fit to participate in the safari.

We strongly recommend:

• Yellow Fever vaccination
• Anti-malarial medication
• Comprehensive travel insurance
• Consultation with a travel health specialist before departure

Please advise us of any:

• Medical conditions
• Dietary requirements
• Allergies
• Physical limitations

before your arrival.

7. Travel Insurance

Comprehensive travel insurance is mandatory for all guests.

Your policy should include:

• Medical expenses
• Trip cancellation
• Trip interruption
• Personal accident
• Lost luggage
• Personal liability

Afriquest Travels accepts no responsibility for losses that could have been covered by appropriate travel insurance.

8. Cancellation Policy

All cancellations must be submitted in writing.

9. Changes to Bookings

Any requested changes after confirmation are subject to:

• Availability
• Supplier approval
• Additional costs where applicable

Afriquest Travels will always endeavour to accommodate reasonable requests.

10. Accommodation

Accommodation is provided according to availability.

If a listed lodge becomes unavailable due to circumstances beyond our control, Afriquest Travels reserves the right to substitute it with accommodation of a similar or higher standard without affecting the quality of your safari.

11. Gorilla and Chimpanzee Trekking

Gorilla and chimpanzee trekking are regulated by the Uganda Wildlife Authority.

Guests must:

• Be at least 15 years old.
• Follow all ranger instructions.
• Maintain a safe viewing distance.
• Refrain from trekking if suffering from contagious illnesses.
• Respect all conservation regulations.

Please note that sightings, while highly successful, cannot be absolutely guaranteed due to the animals’ wild nature.

12. Wildlife Viewing

Wild animals roam freely within national parks.

Although our experienced guides maximize viewing opportunities, wildlife sightings cannot be guaranteed.

Nature operates according to its own rhythms, making every safari unique.

13. Client Responsibilities

Guests are expected to:

• Follow instructions given by their guide.
• Respect wildlife and local communities.
• Observe Park regulations.
• Respect accommodation rules.
• Behave responsibly throughout the safari.

Afriquest Travels reserves the right to terminate the safari of any client whose behaviour places others at risk or disrupts the experience.

14. Responsibility and Liability

Afriquest Travels acts as an agent for hotels, airlines, transport providers, and other suppliers.

While every effort is made to ensure excellent service, we cannot be held liable for:

• Delays
• Flight cancellations
• Weather conditions
• Mechanical breakdowns
• Natural disasters
• Political events
• Government actions
• Illness
• Injury
• Loss or theft of personal property
• Circumstances beyond our reasonable control

15. Vehicle Usage

Our safari vehicles are regularly maintained to the highest standards.

However, unexpected mechanical issues may occasionally occur.

Should this happen, Afriquest Travels will make every reasonable effort to repair or replace the vehicle as quickly as possible to minimize disruption.

16. Luggage Allowance

We recommend:

• One medium-sized soft duffel bag per guest.
• One small daypack.

Large hard-shell suitcases are discouraged due to limited luggage space in safari vehicles.

17. Photography

Photography is encouraged throughout the safari.

However:

• Permission should always be obtained before photographing local people.
• Flash photography is prohibited during gorilla and chimpanzee encounters.
• Drone photography requires prior government authorization.

18. Force Majeure

Afriquest Travels shall not be liable for failure to perform contractual obligations where such failure results from events beyond our reasonable control, including but not limited to:

• Natural disasters
• Floods
• Earthquakes
• Disease outbreaks
• Government restrictions
• Civil unrest
• War
• Terrorism
• Airline disruptions
• Extreme weather conditions

19. Complaints

Should any concern arise during your safari, please notify your driver-guide or contact the Afriquest Travels office immediately.

This enables us to resolve the issue promptly and ensure your continued enjoyment.

Complaints submitted after completion of the safari may limit our ability to investigate effectively.

20. Privacy

Afriquest Travels respects your privacy.

Personal information provided during the booking process will be used solely for:

• Booking arrangements
• Reservation confirmations
• Safari operations
• Legal requirements

Your personal information will never be sold or shared with unauthorized third parties.

21. Governing Law

These Terms and Conditions shall be governed by and interpreted in accordance with the laws of the Republic of Uganda.

Any disputes arising from these Terms shall be subject to the jurisdiction of the competent courts of Uganda.

22. Acceptance of Terms

Payment of a deposit or full safari cost constitutes acceptance of these Terms and Conditions by all travellers included in the booking.
